Privacy Policy

Last updated: October 23, 2026

This Privacy Policy explains how Philip Andrew CPAs + Advisors (“we,” “us,” or “our”) collects, uses, shares and protects personal information when you visit philipcpa.com, request a quote, contact us, subscribe to our emails, or become a client. We are a CPA firm led by Philip DiMartino, a Florida licensed Certified Public Accountant, based in Hollywood, Florida.

Protecting client information is part of our professional obligations as CPAs, not only a website formality. If you have a question about anything here, email phil@philipcpa.com or call 954-649-8718.

1. Information we collect

Information you give us on the website.

  • Quote tool: your name, email address, phone number, business name, the services you select, and the answers you give about your business (for example revenue range, entity type and number of transactions), along with the estimate the tool shows you.
  • Contact form: your name, email address, phone number, business name and your message.
  • Email sign-up: your email address and, if you provide it, your name.
  • Booking a call: when you schedule time with us, the scheduling service collects your name, email address and the time you choose.

Information you give us as a client. To prepare returns, keep books or advise you, we collect financial and tax information such as Social Security numbers or taxpayer identification numbers, income and expense records, bank and payroll records, prior tax returns, and information about your business, your family members and your dependents. Clients share documents with us through our secure client portal rather than by regular email.

Information collected automatically.

  • Analytics: we use Google Analytics to understand how visitors use the site, such as which pages are viewed, how long visits last, the type of device and browser, and the general location (city or region) of the visit. Google Analytics uses cookies to do this.
  • Session analytics: we use Microsoft Clarity to see how visitors use the site, including clicks, scrolling and page movement, so we can improve it. Clarity uses cookies and hides form entries and other sensitive text by default. Microsoft’s privacy statement explains how it handles this data.
  • How you found us: when you arrive, the site notes the page you landed on, the website that referred you, any campaign tags in the link, and when your visit started. This is kept in your browser only for that visit and is sent to us only if you submit the quote tool or contact form, so we know which of our content is useful.
  • Security and server logs: our website host and security firewall record technical information such as IP addresses, browser type and the pages requested, to keep the site running and to block attacks.
  • Email activity: our email service records whether our emails are delivered, opened and clicked, so we can keep our list accurate and send less of what people do not read.

2. How we use information

  • To respond to your inquiry, prepare a quote and follow up with you about it.
  • To provide the services you engage us for, including preparing and filing tax returns, bookkeeping, payroll, advisory and CFO services.
  • To send our monthly email and other updates you have asked for. Every marketing email includes an unsubscribe link.
  • To schedule and hold meetings.
  • To bill for our services and keep business records.
  • To understand which pages and articles are useful and improve the site.
  • To protect our systems and our clients’ information, and to prevent fraud.
  • To meet our legal, regulatory and professional obligations as a licensed CPA firm.

3. Tax return information

Federal law, including Internal Revenue Code Section 7216 and its regulations, strictly limits how tax return preparers may use and disclose information provided to them for preparing a tax return. We use tax return information only to provide the services you engaged us for and as permitted or required by law. We do not use or disclose your tax return information for any other purpose, including marketing, without first obtaining your written consent in the form the law requires.

4. How we share information

We do not sell your personal information, and we do not share it with other companies for their own marketing.

We share information only in these situations:

  • Service providers that help us run the firm, under obligations to protect the information and use it only to provide their service to us. These include our website host and security provider, analytics providers, email delivery service, the automation tools that route quote and contact form submissions to us, our email and document systems, our secure client portal and practice management system, our accounting software, payroll and tax software, and our scheduling service.
  • Our team, including staff and contractors, some of whom work outside the United States. They access client information only through our secure systems, each with their own protected login and under confidentiality obligations. Before your tax return information is shared with a team member located outside the United States, we ask for your written consent, as federal law requires.
  • Government agencies, such as the IRS and state tax authorities, when we file returns or respond on your behalf as part of the services you engaged us for.
  • Others you authorize, such as your bank, lender, attorney or financial advisor, when you ask us to share information with them in writing.
  • When required by law, for example in response to a valid subpoena, court order or regulatory request, or to comply with our professional obligations as CPAs.
  • If our firm is combined with or transferred to another CPA firm, subject to the same confidentiality obligations and, where required, your consent.

5. Financial privacy notice for clients

Under the Gramm-Leach-Bliley Act, firms that prepare tax returns or provide similar financial services are treated as financial institutions and must explain how they handle nonpublic personal information. We collect nonpublic personal information from you and from documents you provide in order to deliver our services. We do not disclose it to nonaffiliated third parties except as described in this policy and as permitted by law, such as to service providers working on our behalf and to government agencies as part of your engagement. Because we do not share your information in ways that would give you a right to opt out, there is nothing you need to do to limit sharing. Only people who need the information to serve you have access to it.

6. How we protect information

We maintain safeguards designed to protect client information, as federal law requires of tax preparers. They include encrypted connections to our website, a secure client portal for exchanging documents, multi-factor authentication on the systems that hold client information, access limited to the people who need it, and vetting of the service providers we use. No system is perfectly secure, so we cannot guarantee absolute security. If we learn of a security incident that affects your information, we will notify you and the appropriate authorities as required by law.

7. Cookies and your choices

Cookies are small files stored by your browser. We use them for basic site functions, for Google Analytics and for Microsoft Clarity. You can block or delete cookies in your browser settings, and you can prevent Google Analytics from collecting your data by installing Google’s opt-out browser add-on. Blocking cookies will not stop you from using the quote tool or contacting us. See our Cookie Preferences page for more detail.

You can unsubscribe from our emails at any time using the link at the bottom of any email, or by replying to ask us to remove you.

8. How long we keep information

We keep client records for as long as needed to serve you and for the periods required by law, IRS rules for tax return preparers and professional standards for CPA firms. Inquiry and quote information from people who do not become clients is kept only as long as it is useful for following up and for our business records. When information is no longer needed, we dispose of it securely.

9. Your rights and requests

You may ask us to tell you what personal information we have about you, to correct it, or to delete it. Email phil@philipcpa.com with your request. We will confirm your identity before acting on it. Some information, especially client and tax records, must be kept for legally required periods even if you ask us to delete it, and we will tell you when that applies. Depending on the state you live in, you may have additional rights under state privacy law, and we will honor requests as the law applicable to us requires.

10. Children

This website is not directed to children under 13, and we do not knowingly collect personal information from them through the site. Information about dependents that a client provides for tax or financial services is handled under the protections described above.

11. Links to other websites

Our site links to other services, such as our scheduling page and social media profiles. Their own privacy policies apply when you use them.

12. Changes to this policy

We may update this policy as our services or the law change. We will post the updated version on this page with a new “Last updated” date. If we make a material change to how we use client information, we will tell clients directly.
